AdviserGPT Onboarding & Implementation Guide
Welcome to AdviserGPT! We’re excited to help you streamline and optimize your RFP and DDQ processes. This guide walks you through how to prepare and organize your content so our platform can effectively assist you. By consolidating all relevant documents, data, and past answers into your AdviserGPT vault, you’ll be better positioned to respond to new or recurring requests quickly and accurately.
1. Introduction
Before you begin, take a moment to assess your current approach to RFPs, DDQs, and FAQs. Consider all the sources you rely on—policy documents, performance data, and previously completed questionnaires—and how you typically compile your responses. With AdviserGPT, you can streamline this entire process by centralizing all your content in one secure, easily accessible vault.
- Ideal Data Range: Aim to include at least one year of backdated data, and potentially older information for key metrics like AUM and performance.
- Benefits: By collecting and organizing this information now, you’ll ensure that AdviserGPT can deliver fast, consistent, and high-quality responses.
2. What Are You Trying to Do?
-
Complete a New RFP
- Context: You’re aiming to win new business, and the issuer is not yet a customer.
-
Complete a DDQ Update
- Context: You have an existing client and need to fulfill due diligence requirements on a set schedule.
-
Update Your Standard DDQ or FAQ Template
- Context: You want to refresh your go-to DDQ or FAQ document for a particular strategy. These are typically reused for common inquiries.
Identifying your goals will help you determine which types of documents, data, and past materials you need to share with AdviserGPT.
3. Think About Your Current Process
-
Where do you usually find the answers to RFP or DDQ questions?
Do you rely on policy documents, commentary, or a master Q&A list? -
How do you store past questionnaires or RFPs?
Are they in a central repository or scattered across different folders? -
Do you often rely on last year’s DDQ or previously completed RFPs?
These documents can contain repetitive questions or data that you can reuse and update. -
Are there any FAQs or standard responses you consistently use?
Adding these to your vault ensures consistency and efficiency in future submissions.
4. Where Is Your Source of Truth?
It’s important to identify which documents or databases you rely on for accurate, up-to-date information. Common examples include:
-
Policy and Compliance Documents
These outline regulations, ethical standards, or governance models. -
Market Commentary
Provides insights or analyses that might answer qualitative questions. -
Master Question and Answer RFP Documents
If you keep a centralized list of Q&As, it’s invaluable for quick reference. -
Prior Completed RFPs or DDQs
Often contain relevant language that can be repurposed for new or recurring questionnaires.
5. Recommended Content to Provide
While there’s no one-size-fits-all approach—every firm’s “source of truth” is unique—below are general guidelines on what typically proves most helpful:
-
Policy Documents (2–10)
Include those that most frequently inform your answers. -
Strategy Commentaries (1 per strategy)
Ensures we can reference your thought leadership and performance analysis. -
Previously Completed DDQs or RFPs (1 per update)
Great for referencing commonly repeated answers. -
Bank of Approved RFP Questions & Answers
Centralizes your best and most accurate responses for future reuse.
Remember that you know your business and workflows best. Provide whatever you consider key to answering typical questions, and don’t hesitate to include additional materials if they frequently inform your responses.
6. Quantitative Data & Requirements
-
AUM, Performance Numbers
- Include at least one year of historical data, more if available for trends (especially for AUM and performance metrics).
-
Preferred Format
- We recommend multiple smaller CSV files over one large file—this makes data updates and processing faster and simpler.
-
Minimum Data Guidelines
- 5–10 Quantitative Reports: Cover your core metrics (e.g., performance by strategy, AUM breakdown).
- Frequency: Decide how often you will refresh these files—quarterly or monthly updates are typical.
